    Responsibilities

    Performs advanced, varied, and confidential administrative duties in support of production teams.  This position requires individual initiative, excellent organization skills, and an ability to project a positive and professional image.  Position requires effective interaction with officials and their staff.  

     

    Assists Project Managers with accounting paperwork, project documentation, and specification preparation. Order and maintain supplies. Prepare and process timesheets and expense statements. Make travel arrangements as well as set up itineraries. Send fax transmittals. Sort and route mail. Organize office invoices and activities. Process forms and documents according to pre-established guidelines. Scanning, photocopying, preparation and assembly of professional reports. General typing and proofing of documents including spreadsheet input. Attention to detail and a self-imposed expectation for accuracy are mandatory.

     

    Special Requirements: Professional in representing the organization by phone and in person. Must be a team player. Strong verbal communication is required. Requires the ability to handle assignments from several different project managers and to set and manage priorities. Must be reliable.

     

    Additional Responsibilities will include but are not limited to:

     

    • Acting as a liaison between the Right of Way Manager and other employees/departments within and outside the company regarding administrative issues related to the Group exercising a high level of confidentiality and discretion.
    • Prepares and updates a wide variety of internal reports, including gathering, verifying, and compiling information from various sources.
    • Composes and edits correspondence, and takes independent action on handling requests, including routing and answering requests not requiring the Right of Way Manager and Infrastructure Manager attention.
    • Responsible for the orderly establishment, maintenance and retrieval of filed information and correspondence to ensure immediate access to information, ensuring confidentiality of information as necessary.
    • Schedules appointments, coordinates meeting arrangements requiring proper facilities and equipment as needed.
    • Coordinate the work of other office administrative staff.

    Qualifications

    • High School Diploma or equivalent.  2 years college or associates degree preferred.
    • Experience in real estate or legal operations preferred.
    • Above average Microsoft Excel knowledge.
    • Familiarity with reconciliation of financial data a plus.
    • 3+ years of experience, preferably in an Engineering Environment.

     

     

    Special Requirements: 

     

    Working knowledge in all current Microsoft Office programs including Word, Excel, PowerPoint, Outlook, and web-based research.
